Does anyone know if you can send the IRS black and white copies of the 1099's? A client of mine didn't order any forms and the software that I use prints the entire form in black and white. Usually, you have to send them the red copy. Please help!

This is the most annoying thing, as I understand it, you may not send anything but the red copies. I end up having to go to the IRS office and then TYPE the forms. If anyone knows anything different than this, please let us both know.

I bought a program from www.esmartpayroll.com for printing 1099's. It was about $15. The software program can print the 1099's on blank paper; red if you have color printer. Also, you can create a file and upload it to them for them to efile the irs version for you. This program, however, will not print on preprinted forms.

The IRS scans them. Our experience is that the IRS has never sent back the black & white versions in order to redo them or charged a penalty for them. Sometimes you can photo copy the numbers onto the "red forms" after they are printed.

I have sent computer generated black and white forms in the past and never had any trouble. (knock on wood)

To PDXCPA.

I just purchased the esmart software. When installing it , the program stated it will not work since I dont have word installed on my computer. This was untrue. Went into my directory and found the program on loaded it. It worked with my word 2003, HOWEVER THE PROGRAM THEY ARE SELLING IS FOR 2003 NOT 2005. In addition there are no 1098's availalble. I left email as well as phone message and waiting for their answer.

I purchased 1099 and 1096 form for 2005 from esmartpayroll. Not sure which page you were looking at but it may be further down the page...? They're pretty easy to get on the phone. If you end up having to leave a message for a call back, they do fairly quickly. I had purchased w-2c for 2003 last year for a project and they refunded my $$ after I realized that I didn't need it. Here's the link to the 1099 misc page http://www.esmartpayroll.com/Search.asp?ssg=1&tab=2&q=1099-MISC 3rd one down is for excel import but you also must have word. You use word to open the program, template, and macro.

I'm getting down to the wire and am waiting on a response to either my email or phone call to esmartpayroll (just from yesterday). I'd like to use the WebDirect efile service, which as far as I can tell, will do everything (no 1096 required, I believe). The 'batch' cost of the few (~12) that I have to do is only $21.50, but I cannot figure out what 'batch' means. I have 5 payees with a total of ~12 1099s. Can I 'batch' file these, i.e. different payees?

Filing is grouped by Payor's information (a batch); the payor being the company paying the contractor/attorney. What was your question for esmartpayroll? If I were you I would go ahead and process the information and try to get your refund of the incorrect purchase.

Yes, if laser printed. 1099's and 1096 still have to be red tho (PIA :-)

I assume you figured out that the answer is NO to sending black and white copies to IRS. The ones to IRS must be on the RED forms.

oops, I would SWEAR the original question was about W-2's......eye's are going already.

1099s & 1096's have to be red; W-2's & W-3's cna be black & white if laser printed. [Red copies of W-2's and W-3's}
